The Subcontractor Management Process

In the construction industry, the majority of projects include the hiring and managing of subcontractors. Subcontractors have always played an important role in helping construction companies complete projects, by providing the skills they need to get the job done, without having to directly employ people.

Managing subcontractors in construction can often be time-consuming and hard work, especially when managing multiple subcontractors across many contracts at once. Trying to manage subcontractors without a subcontractor management process in place can often be disorganized and you always run the risk of not complying with legislation.

Our software, Evolution Mx, includes a Subcontractor Management module that makes sure you can keep in control of your subcontractors throughout the whole process, whilst also ensuring your company complies with all necessary legal requirements.

Choosing your subcontractor

Deciding which subcontractor to hire is the first step in the subcontractor management process, and it’s important to ensure you hire the right subcontractor for the job. This can be based on their experience, price and even their safety record. After selecting the right subcontractor for the job, it is important to confirm that they are fully insured and licensed.

Our Subcontractor Management module allows you to verify subcontractors easily with a link directly to HMRC.

Once a subcontractor is verified, you can then manage any relevant documentation related to them, including insurance expiry dates and training documentation.

By ensuring all your subcontractors are insured and have the appropriate training certifications you can be assured that you’ve made the right choice, and ensures that your construction company is following all relevant Government legislation.

Project Delivery

The second step in the subcontractor management process is product delivery.

Once your subcontractor has been verified, they can now start working for you to complete their set tasks. This is where managing subcontractors in construction can often get tricky.

When working on a project, there are often lots of moving parts to focus on, as well as managing your subcontractors and ensuring they’re doing the work required of them.

Timesheets are used in order to keep track of the amount of time a worker spends on any given job. This helps with subcontractor management as it allows you to monitor how long your subcontractors are working for, as well as generating accurate information for payroll.

Our Subcontractor Management module allows you to easily import timesheets from Excel, and allows them to be processed in one, single integrated system, meaning you can manage timesheets more efficiently.

Paying Your Subcontractor

The last (and arguably the most important step in the subcontractor management process) is the paying of the subcontractor once the project has been completed.

To maintain a good working relationship, it’s vital that subcontractors get paid correctly and on time.

With our Subcontractor Management module, there’s a flexible process to allow for authorisation of subcontractor payments, meaning they can be approved by your chosen member of staff to allow for full peace of mind.

Our system is also fully CIS compliant, meaning that it allows users to submit CIS returns directly to HMRC each month. As our software is recognised by HMRC this allows you to speed up the process of CIS returns and ensure that your company is staying compliant.
